Weeks of Preparation. One Planned Cutover.

Finish Friday in the Old System.
Start Monday in OAK EMR.
Go Live With Support.

We prepare the source data, configuration, training, and validation in advance. When the agreed scope and required connections are ready, the final cutover is planned over a weekend so the practice can keep moving.

The Transition Framework

Prepare Carefully. Switch Cleanly.

Every transition is shaped by the source system, available exports, record volume, connected services, and practice workflow. These phases prepare the work before the final Friday-to-Monday cutover.

PH1

Phase One

Discovery and Source Review

  • Discovery session — review your current system, workflows, priorities, and operational constraints
  • Source assessment — identify available exports, record types, file formats, and access requirements
  • Written scope — document included data, exclusions, responsibilities, checkpoints, and proposed timing
  • Practice participation — identify the people who will answer source-data and workflow questions
PH2

Phase Two

Mapping and Configuration

  • Field mapping — align agreed source fields with their destination in OAK EMR
  • Data preparation — normalize and prepare records according to the approved mapping
  • Workflow configuration — configure templates, users, roles, locations, and selected workflows
  • Connection planning — define required external connections, owners, dependencies, and testing steps
PH3

Phase Three

Validation and Team Readiness

  • Validation samples — review representative records, counts, and critical fields with your designated team members
  • Workflow testing — walk through scheduling, documentation, billing, and follow-up scenarios in scope
  • Role-based training — prepare providers, front desk, clinical staff, billers, and administrators for their work
  • Readiness review — document open items, owners, and the agreed go-live approach
PH4

Phase Four

Cutover and Supported Go-Live

  • Final preparation: complete the agreed cutover steps, validation checks, and approval sign-offs
  • Source cutoff: follow the written plan for final entries, exports, and read-only access
  • Cutover: complete the final scoped import and confirm the agreed validation checklist
  • Go-live support: route questions and issues directly to the implementation team during the defined support window
✦ A Controlled Cutover

Friday Logoff.
Monday Go-Live.

The cutover plan defines the source cutoff, final export, import sequence, validation owners, fallback considerations, and support contacts before the weekend transition begins.

What the Transition Plan Can Include

The final statement of work identifies the included data, configuration, training, connections, responsibilities, and support for your practice.

Source Data Review

We inventory the record types and exports available from your current system and document the data selected for migration.

Mapping & Validation

We define field mappings, prepare the scoped data, and review representative samples with your designated team members.

Workflow Configuration

Selected templates, users, roles, locations, and workflows are configured according to the approved scope.

Role-Based Training

Training sessions are organized around the roles, workflows, format, and attendance plan listed in the implementation scope.

Connection Planning

Required external connections are identified with their dependencies, responsible parties, sequence, and testing steps.

Go-Live Support

The written plan defines the support period, contact method, issue-routing process, and responsible team members.
